    Connect Hotelbeds to Cloudbeds PMS: The Ultimate Guide

    Step 1.1 - If you don’t have an account at Hotelbeds:

    1. You need to create an account at Hotelbeds. List your property here. Please note that there is a minimum requirement of 10 rooms to sign up. 
       
    2. After listing your property, you will receive three confirmation emails with:
      • A summary of the registration with your hotel information and the Hotelbeds terms and conditions.
      • An email with your Hotelbeds Channel Manager credentials to start the connection process.
      • An email with your Hotelbeds Partner Extranet credentials where you will be able to upload your content and complete your Onboarding.
    3. Hotelbeds will confirm with the Cloudbeds team that your property is ready for activation. Forward the new connection credentials to your Cloudbeds support team. 
      • A Cloudbeds Support Team Member will activate the connection on your behalf. You will receive an email once this has been done so that you can complete Room Mapping and other channel setup details.
         
    4. Once you receive confirmation from Cloudbeds, go ahead and map your rooms following the guide in Step 2.

    Step 1.2 - If you do have an account at Hotelbeds

    1. If you already have an account with Hotelbeds with an active commercial agreement, contact your Hotelbeds Hotel representative and ask to activate your connection with Cloudbeds. You will receive an email to reset your connection credentials (password). When contacting the Hotelbeds Hotel Optimization team, you must include your Property Name and Hotelbeds Property ID.
       
    2. Hotelbeds will confirm with the Cloudbeds team that your property is ready for activation. Forward the new connection credentials to your Cloudbeds support team. 
    • A Cloudbeds Support Team Member will activate the connection on your behalf. You will receive an email once this has been done so that you can complete Room Mapping and other channel setup details.
       
    1. Once you receive confirmation from Cloudbeds, go ahead and map your rooms following the guide in Step 2.

    Step 2 – Start mapping Hotelbeds in Cloudbeds PMS

    1. Go to the Channels tab on the Distribution page once you receive the Cloudbeds email notifying you that the channel is ready for mapping.
    2. Hotelbeds will be displayed on your channels list as Ready for mapping; click Complete mapping to proceed.
    3. Select your Property/Product. A single Hotelbeds account can have multiple properties associated with it; therefore, Cloudbeds PMS requires users to first select their property.                                                                         
    4. Select the Hotelbeds rooms from the drop-down that matches the Accommodation Type on the Cloudbeds system.
    5. Click CONTINUE when completed.
    6. Click CONFIGURE to choose which contract(s)/rate plans you want to update.
    7. Click SAVE.

       

      Note:
      A Hotelbeds contract can be seen as a rate type or rate plan. For example: BAR BB1 | BAR BB All Markets 20% (12345), where:
      - BAR = Best available rate
      - BB = Bed and breakfast
      - 12345 = Rate ID

      It is possible to select from multiple HotelBeds contracts on the Rate Plan drop-down menus:
      - When Advanced Channel Rates is disabled, you can only map the base rate to your Hotelbeds contract.
      - When Advanced Channel Rates is enabled, you can map multiple rate plans on Cloudbeds PMS to your Hotelbeds contracts.
       

    8. Add Base Rate Adjustment for each room type if needed, or leave it at zero to skip it.
    9. Click CONTINUE when completed.
    10. The channel setup is now complete. Click FINISH.

    Step 3 - Complete the hotel Content

    1. Login to Hotelbeds Partner Portal.
    2. Complete the following details:
      2.1    General Information: Hotel descriptions in English and in your local language.
      2.2    Hotel facilities and services.
      2.3    Room facilities and number of pax distribution.
      2.4    Hotel and Room pictures (min. 12 pictures/ min 800 px wide).
